Cancelation Policy

Event Cancellation Policy

We understand there are many valid reasons for members canceling their attendance at events. On the other hand, members will appreciate that commitments to suppliers, our venue, and to our Chefs must be made in advance and incur a certain financial commitment on the part of the club. With that in mind, we have devised a cancellation policy that we hope you will find is as fair as possible to all concerned.

Regular Events

Members may cancel confirmed attendance at regular events without penalty up to and including the Wednesday of the week before the event. Members who cancel between the Wednesday before the event and 24 hours before the event will be liable for half the event fee. If the member cancels within 24 hours of the event, he will be liable for the full event fee.

With the approval of the Club President or Treasurer, exceptions to the above criteria may be made in the event of extraordinary circumstances such as family emergencies or sickness.

Special Events

Special Events are events that are attended by non‐members such as spouses/significant others. This usually is the February Event; however, the Executive Committee may designate any event a special event.

Members can cancel confirmed attendance at special events without penalty up to one week in advance. If the member cancels between one week and 24 hours before the event, he will be liable for half the event fee for himself and his spouse/significant other. If the member cancels within 24 hours of the event, he will be liable for the full event fee for himself and half the event fee for his spouse/significant other.

With the approval of the Club President or Treasurer, exceptions to the above criteria may be made in the event of extraordinary circumstances such as family emergencies or sickness.

Guests

Members will be responsible for the cost of their guests. The same criteria as above for members will apply to guests. Guests will be considered signed up for an event when the guest reservation is confirmed.

Process

To cancel, the member will send an e‐mail to the club account requesting he be cancelled from the event. The date/time stamp of the e‐mail shall be used in applying the above criteria. The Treasurer will be responsible for following up with the member to collect any fees due.
